The Department of Health Systems and Population Health has an excellent opportunity for a Recruitment & Marketing Specialist to work with Health Management and Informatics (HMI) to develop and implement annual student recruitment and marketing plans for three graduate degree programs as well as supporting broader needs associated with HMI communications, marketing and alumni relations. This position writes and designs communications and promotional materials, plans and manages recruitment and alumni events for individual programs and HMI graduate programs collectively.

Success in this position requires being an independent driver of ideas, creative thought partner, and relationship-builder, who will take the initiative in marketing and recruitment efforts for the graduate programs, collaborating with program directors and other staff and with the UW Continuum College (UWC2) to meet strategic goals. The position tracks interest and corresponds/meets with prospective applicants; organizes recruitment and alumni events for individual programs and the department; represents the program at local, regional and national recruitment events; and partners with the program directors and UW School of Public Health Advancement on development and implementation of fundraising campaigns/activities to benefit students. The Recruitment & Marketing Specialist will report to the Sr. Associate Director for Operations and work as part of a team to support the Master of Health Administration (MHA), the Executive Master of Health Administration (EMHA) and the Master of Health Informatics and Health Information Management (MHIHIM) degree programs.

This position will work towards diversity, equity and inclusion goals within and for these programs and will be expected to know and contribute to the strategic goals of the MHA and MHIHIM programs, the Department and the School of Public Health.

Duties and Responsibilities:

Student Recruitment and Admissions

  • Collaborating with UWC2 and program faculty and staff leadership, develop and implement annual recruitment plans for to promote the HMI programs locally, regionally and nationally.
  • Conduct one-on-one and group information sessions both in-person and via webinar for the MHA, EMHA and MHIHIM programs.
  • Implement annual schedule for pursuing inquirers and prospective students, and maintain the processes of responding to inquiries and tracking data; analyze inquiry data to inform strategic planning for recruitment.
  • Respond to inquiries from prospective applicants, enter and track data, and report on conversions.
  • Plan individual visits for prospective students and larger-scale recruitment events both on campus and on-site at regional healthcare organizations.
  • Draft and send communications soliciting applications for the MHIHIM and EMHA programs to regional executives, alumni and students, as well as interested students from the California Diversity Forum, McNair Scholars and National Name Exchange.
  • Develop and strengthen relationships and pipelines including cultivating relationships with healthcare organizations to develop opportunities for information sessions and possible student pipelines and building relationships with undergraduate advisors on the UW Seattle, Bothell and Tacoma campuses to educate them about the HMI degree and admissions requirements.
  • Work closely with undergraduate HIHIM staff and with other student recruitment staff in the Department and across the School of Public Health to optimize and coordinate recruitment activities.
  • Energize and coordinate faculty, alumni and student involvement in recruitment efforts (internal and external).
  • Manage MHA Program Visit Day, the major recruiting event of the year; includes program development, interview process and content, event logistics, and alumni and student engagement.
  • Coordinate alumni involvement in and provide supplemental support for the admissions process.
  • Develop and manage a system for tracking effectiveness of recruitment activities.

    Marketing and Program Promotion

  • Collaborating with UWC2, program leadership and the operations director, develop and implement marketing and promotional activities for the MHA, EMHA and MHIHIM programs.
  • Work to identify and develop new markets for these degree offerings, particularly EMHA and MHIHIM.
  • Represent programs at public events, career fairs, recruiting events, conferences, etc.
  • Manage partnerships with outside organizations and ensure membership benefits are optimized (AUPHA, WSHA, WSHIMA, HIMSS, etc.).
  • Write and edit content for MHA, EMHA and MHIHIM program websites, including updating statistics, curriculum and faculty information, tuition and other timely information; work to maximize the potential for program websites as a marketing tool.
  • Annually review and update all program materials including brochures, fact sheets and suggest new materials as needed.
  • Coordinate with SPH recruitment and communications staff to ensure that School-level collateral and web information is optimized and accurate.
  • Conceptualize, create and update promotional materials for displays, flyers, phone scripts, swag, etc. and update annually as needed.
  • Develop annual social media strategy and manage programs social media outlets to energize student, alumni and community base.
  • Write content and coordinate dissemination of program news in annual reports and other relevant HMI, departmental, SPH and UW and external publications and communications.
  • Generate and help elevate content for placement in publications to external audiences, such as the AUPHA Exchange, newsletters of local health care organizations, etc.
  • Meet proactively with faculty and staff to obtain information and leads on content creation, prioritizing communications of student projects, awards and presentations; generate student and alumni testimonials and profiles.
  • Build relationships and act as liaison with professional health care associations and organizations locally, regionally and nationally, as well as with other relevant units on campus.
  • Represent programs at monthly School of Public Health Communications Forum.
  • Ensure appropriate use of UW branding, SPH logo, and communications and style guides.
  • Coordinate the collection and use of photos for program promotional purposes (newsletter, social media, web site, etc), both in partnership with UWC2 and using the programs own equipment.

    Alumni Relations

  • Work closely and directly with MHA program director to develop and support the MHA Alumni Association and the work of its board; participate in monthly MHA alumni board meetings.
  • Plan MHA alumni events that provide educational and networking opportunities for alumni and the local health care community.
  • Write content, publish and distribute regular electronic newsletters in collaboration with program and MHA alumni leadership.
  • Maintain up-to-date database of alumni contact and employment information.


  • Produce annual program statistics, trend information, etc. for student recruitment, admissions, and other public relations needs.
  • Participate in program fund development activities including liaising with SPH Advancement.
  • Participate in data review and/or entry tasks, as needed.
  • Coordinate and/or support staffing of other program/department/school-wide student events, as appropriate.
  • Program strategic planning activities and other related duties as assigned.

  • Bachelor's degree in communications, marketing, business, English, or a related field.
  • Three years of experience in student recruitment and/or program promotion, including proactive participation in the development and implementation of marketing and/or communications strategies and materials, with an eye towards building diversity
  • Demonstrated knowledge of the importance of and commitment to increasing the number of diverse student applicants, with emphasis on underrepresented minorities
  • Superior organizational skills and ability to juggle multiple activities and complex projects while ensuring deadlines are met
  • Superior interpersonal communication and collaboration skills, with an ability to work professionally, productively, and collegially with a broad range of individuals, from prospective and current students to faculty, academic leaders and colleagues, and professionals in the health management and informatics fields
  • Superior writing and editing skills
  • Events coordination experience
  • Excellent public presentation skills
  • Strong eye for detail and high standards of accuracy
  • Experience building and supporting social media campaigns
  • Experience with web-based conferencing/meeting technologies, particularly Zoom
  • High-level adeptness with the MS Office Suite (Word, Excel, PowerPoint, Outlook, Access)
  • Ability to travel to off-site locations as needed and work evenings and occasional weekends. After hire, a valid drivers license is required along with completion of UW Fleet Services Basic Driver Training in order to operate University Vehicles for travel

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desired Qualifications:

  • Experience with UW systems such as Marketo, Convio, Advance and MyGrad
  • Experience in alumni relations
  • Experience working with marketing analytics and admissions data

    Working Environmental Conditions:

    This position requires off-site travel, including occasional overnight travel, to recruitment events. Additionally, it requires working flexible hours as necessary due to work demands.

    This position has a primary worksite of University of Washingtons Seattle campus. A hybrid work arrangement may be available. Hybrid work means that remote work may be possible for a day or more per week, depending on business need, on an ongoing basis.
