Program Receptionist and Medical Assistant

Hartgrove Behavioral Health System is a 160-bed leading psychiatric hospital dedicated to providing quality behavioral health services for its diverse population of children, adolescents and adults. Hartgrove is a Joint Commission accredited and state licensed facility focused on short-term crisis stabilization programs. We provide fully accredited educational programs, comprehensive Behavioral Health services, along with an array of additional services, while utilizing a holistic treatment approach.

Job Description

The Hospital is seeking a full-timeProgram Receptionist and Medical Assistant for our telepsychiatry program. This position is primarily based out of our Oak Park location, with duties that may also include travel to our other outpatient locations as needed. This is a 40 hour per week position with a schedule of Monday through Friday, with periodic evening times required. The primary responsibilities are as follows:

  • Responsible for front-end administrative / reception responsibilities in the telepsychiatry clinics (i.e., receipt of referrals and patient data, preparation and maintenance of provider schedules and billing ledgers, communication with medical providers, allied health staff, and stakeholders regarding components of scheduling and delivering patients treatment, transmission of records).
  • Responsible for obtaining patient insurance information, verifying benefits, and submission of billing for services.
  • Assist medical providers with patient visits, including obtaining height/weight, vitals, and medication reconciliation.
  • Provide administrative support to medical providers, including submission of prior authorizations, medication reconciliation with pharmacies, and outreach to patients as needed.
  • Provide exceptional customer service over the phone and in person to all patients/families/guests.
  • Bilingual Spanish/English a strong plus.
Job Requirements

JOB SPECIFICATIONS: To perform this job successfully, an individual must be able to demonstrate competency in the criteria listed in this job description. The specifications listed below are representative of the knowledge, skill and ability to meet the minimum requirements for this position.

Education: High School Diploma or GED. Completion of Medical Assistant or CNA program and Illinois certification strongly preferred.

Experience: At least one year previous experience with healthcare scheduling and/or billing practices strongly preferred.

Licensure/Certification: None. Illinois certification as a CNA or Medical Assistant strongly preferred.

Knowledge: Working knowledge of Hospital safety policy and procedures. Excellent communications skills

Supervision Received: Executive Director of Outpatient Services.

Supervision Exercised: None

Line of Promotion: None

Working Conditions. Exposure to psychiatric patients who may exhibit violent/aggressive behavior. Potential for exposure to communicable diseases, blood/body fluids and other hazardous waste. General outpatient clinic environment.

Physical Requirements: Ability to communicate verbally in clear concise manner. Push, pull and lift up to 40 pounds. Intermittent sitting, standing, walking, bending and stooping.
