Qualifications
  • Self-Starter; demonstrated ability to work with minimal direct tasking
  • Outstanding communication skills - oral and written; demonstrated ability to prepare correspondence on behalf of executive leadership and to communicate effectively with a wide variety of audiences
  • Demonstrated business and political acumen
  • Ability to synthesize large amounts of information from various sources
  • Domain experience; knowledge of Customer's processes, procedures, systems, applications and tools
  • Expert knowledge of Microsoft Office Tool Suite, with emphasis on Outlook, Word, and Powerpoint
  • Ability to work cooperatively and collaboratively across contractual and organizational boundaries
  • Outstanding organizational skills; keen attention to detail
  • TS/SCI with poly required

Requires 10 to 12 years with BS/BA or 8 to 10 years with MS/MA or 5 to 7 years with PhD.

Responsibilities

The program planner provides a wide range of support involving initial job planning, scheduling of time and materials, coordination among internal and external customers/stakeholdrs, monitoring job progress, analysis of changes, and problem solving. As a critical member of the Front Office, this individual will support the office leadership as well as providing asisstance to other officers as necessary.

  • Present a professional and personable attitude at all times as the first-face of the customer office
  • Provide executive level support directly to the Division Chief managing the overall administrative activities of the office.Expected to initiate outreach with various levels of staff to compile and organize information and data to meet administrative requirements.
  • Must work core hours 0800 1600
  • Be proactive, gather information from multiple sources, including managers, peers, coworkers and stake holders.
  • Align workflow and priorities by managing the schedules and anticipating needs to of Division coordination and collaboration internally and externally.
  • Efficient with Outlook, Microsoft Office, Hive(e.g. application to house documents similar to the use of a share drive), share point, EARRS, GENESIS, MyTraining.
  • Manage the schedules and anticipating needs for Division coordination and collaboration internally and externally.Manage the schedule and meeting agendas, propose changes to streamline the process and format to improve efficiency.Track, coordinate meetings within the Division and Group office leadership as needed.
  • Coordinate office events (e.g. All hands, Off-sites), in collaboration with office management/support staff.
  • Manage and oversee arriving and departing personnel to ensure check in/check out procedures are completed.Ensure shared drive and database accesses are granted or removed accordingly.Update email groups and maintain phone directories/rolodex of key contacts.Exercise tact, diplomacy, and discretion while serving as Division liaison for interactions with officers at all levels within and outside the organization.
  • Determine appropriate meeting venue and arrange for needed logistics and security (required audio/video capabilities; adequate size room or other venue; transportation, sufficient travel time, parking; visitor request, badges, escorts) to ensure Division and/or attendees have the required access and resources to attend and participate in the meeting or event.
  • Provide division support to include ordering office supplies
  • Coordinate all appointments for Division Front Office leadership, resolve schedule conflicts, vet unscheduled visitors, screen calls (as needed).
  • Coordinate training courses for office personnel, in collaboration with office management/staff.
  • Ability to draft up documents on behalf of the Division Chief, scan and customize documents, develop, update and implement SOPs.
