Summary of Functions:

Under general, the Administrative Assistant - Operations will assist within specified territory to perform appropriate operational and administrative tasks to enhance workflow of pharmacy, support pharmacies and up to 4 Director of Operations from various regions in the US and provide backup support to pharmacies, Supports positions, Administrative persons, and Director of Operations (DOO) throughout the organization.

This is a remote position, candidate is desired to live in Arizona.

Major Duties & Responsibilities:

    ""
  • Be responsible for heavy calendar management requiring interaction with internal executives and assistants; coordination of various complex meetings
  • ""
  • Answer phones/emails and direct all inquiries to appropriate party promptly and efficiently.
  • ""
  • Coordinate and schedule conference calls.
  • ""
  • AssistDirector of Operationswith preparation of presentation materials for up to 4 regions.
  • ""
  • Coordinate all aspects of travel arrangements for Director of Operations (up to 4)
  • ""
  • Oversee the regions scheduling of open, planned, and emergency shifts with temporary staffing or relocation of float pool, and process PRN timecards, reset Prodigy passwords and maintain Windows temporary login and password spreadsheet.
  • ""
  • Coordinate all aspects of expense reporting and mileage reimbursement for Director of Operations (s)
  • ""
  • Prepare and distribute meeting notes, documents, reports, and presentations using MicrosoftWord, Excel and PowerPoint.
  • ""
  • Create, organize, maintain and distribute/ship management training books.
  • ""
  • Administer employee appreciation and recognition incentives within region; occasion appropriate cards and gifts as well as ordering business cards.
  • ""
  • Follow appropriate billing procedures for follow-up on non-covered or responsible party forms.
  • ""
  • Survey sites to ensure successful follow up and completion on initiatives.
  • ""
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • ""
  • Projects may include optimizing pharmacy operations.
  • ""
  • Other duties as assigned by Director of Operations.

  • Able to travel when needed.

  • Candidate must be a high energy and self-motivated individual.

  • Must have excellent written and oral communication skills, very strong organizational skills with ability to multi-task.

  • Strong to Expert Microsoft Outlook/Calendar Management, Microsoft Word, Excel & PowerPoint
  • ""
  • Prefer a minimum of 1-2 years of prior administrative experience, preferably supporting upper management.
  • ""
  • Ability to coordinate meeting plans, schedules, and events in a detailed manner
  • ""
  • Entrusted with highly confidential and sensitive information
  • ""
  • Constant exercise of independent judgment
  • ""
  • Ability to prioritize, work independently, take initiative, and handle multiple tasks in a professional and organized manner

  • Ability to maintain professionalism and composure under stressful situations
