The Operations Coordinator - Pivet serves as the first and primary point of contact for facility users, including clients. They support site operations in partnership with the Director - Pivet. This includes, creating, executing and managing events at the Pivet site; coordinating and administering shared facility resources; managing supplies; and completing other administrative duties. This is a key role at the Pivet site and requires the ability to handle a variety of duties to ensure both clients and employees have a great experience.

Create, execute and manage all events at the Pivet site:




* Understand and execute the vision of event host

* Source vendors and resources

* Manage event budgets

* Oversee activities during events

* Complete clean up and recovery post events




* Create and maintain communications materials and tools:


* Develop and maintain staff distribution lists

* Craft and distribute site wide communications for critical and standard events

* Develop and maintain external contact and communication procedure, including vendors and visitors

* Develop site social media campaigns as needed and post them regularly to maintain an active presence




* Order and manage office and facility supplies for employees, contractors, and client needs

* Complete administrative duties including processing Pivet invoices for payment, receiving and distributing mail and packages; processing direct payments from clients; managing distribution and shipping for client facing processes (Tags, titles, etc.)

* Coordinate and administer shared facility resources, including the conference room, shared lounge space and shared office space

* Serve as first and primary point of communications for clients, partners and Cox employees for Pivet scheduling, events, general interactions and inquiries

* Create and maintain reports as needed

* Partner and coordinate with other Cox resources and outside vendors to ensure the location is maintained

* Support the onboarding of new clients

* Other duties as assigned


Qualifications:

*
Associates degree and /or equivalent work experience is required



*
1+ years of work experience in hospitality, retail or an office environment



*
Exceptional verbal and written communication skills



*
Problem solving and creative ability



*
Proficiency in various technologies, including MS Office



*
Flexibility and willingness to learn and take on new responsibilities



*
Strong customer service and able to anticipate client needs to deliver extraordinary experiences



*
Professional demeanor and strong interpersonal skills



*
Attention to detail and ability to organize



*
Ability to manage multiple tasks and projects and reprioritize as needed



*
Willingness to provide support to team members as needed



*
Highly proficient level of computer skills including PowerPoint, Excel and Outlook is preferred
