Provide efficient and organized administrative support and communication to Clinical Operations department collaborating with team members to attain operational goals.  Act as a point of contact for inbound telephonic and email inquiries to identify needs and route inquiries appropriately; answer non-medical questions; place outbound non-medical calls as directed.

Primary Responsibilities

  • Act as a resource and communicate with internal/external customers to field non-medical requests and questions to internal departments
  • Monitor voicemail boxes as assigned.
  • Maintain department initiatives as assigned (ie: SALUTE, stats, Schedules, tasks, assigning of tasks, ect)
  • Triage medical questions to appropriate medical team member
  • Data entry of medical information and medical readiness into external databases
  • Clear, concise documentation of all communication and actions taken with interaction for employees, internal customers
  • Scan, attach and complete tasks, route exam documents to appropriate entities
  • Work with Medical Director, Physicians and Clinical Operations team members for document routing and completion of system generated tasks as identified by Clinical Operations leadership
  • Assist with writing and maintaining documents for the department related to the production of its daily work flow to include departmental policy, work instructions, standard operating procedures and reference materials.  Review documentation in the DMS.
  • Monitor Clinical Operations Department office supplies and floor supplies (break room, coffee station, ect)
