Under the supervision of the Supervisor, Operations Support, the *Lead Registration Administrator *performs a variety of administrative and technical tasks related to the processing, printing and shipping of registration documents, as well as license plate inventory shipping and receiving duties. The responsibilities of this position are to provide the essential daily on-site supervision and support to a team of Registration Administrators. This team supports all out-of-state vehicles, Fleet, Lease & Rental clients who use the Dealertrack OLRS and RegUSA platforms for processing electronic motor vehicle transactions. Through the printing of daily reports and shipping labels, organizing and collating vehicle registration documentation, license plates and mailing supplies and preparing shipments to Dealertrack clients or our clients customers, this team of Registration Administrators enable Dealertrack RTS to deliver a Centralized Registration Service for our clients selling across state borders and national accounts.

The Lead Registration Administrator position drives the success of this team. The Lead Registration Administrator must possess maturity, attention to detail and the ability to both delegate effectively and be able to efficiently teach and perform the responsibilities of the Registration Administrator. These duties include validating that all vehicles were processed correctly, all shipments have the correct address information and contain the correct registration documents and license plates prior to shipping to ensure accurate processing and delivery of shipments.

Other duties include running reports, attending customer meetings, receiving inventory shipments and maintaining inventory documentation, entering and retrieving information on the computer and answering client inquiries.


*Your role:*

Performs a variety of tasks associated with processing registration and titling transactions for out-of-state vehicles. Also engages in office support tasks, including answering the telephone, recording and forwarding messages, answering questions via email, fax or telephone about specific vehicles, report data, state DMV requirements, inventory management. Enters data into the computer. Follow up phone calls to customers, DMVs and vendors may be necessary. Perform document scanning/processing. May be required to assist with the warehousing duties when receiving inventory shipments. Ensures all daily and weekly reporting to management team are delivered on time. Supervises the work flow of multiple team members. Conducts team member training and staffing assignments. Assists Supervisor/Manager with personnel and client issues.






* Utilizes computer to process vehicles and assign inventory. Runs client reports to support billing, manage on-hand inventory. Ensures report accuracy and completeness.

* Verifies the following information for each shipment: Registered owners name and address, license plate and sticker numbers, Vehicle Identification Number (VIN), temp tag number and expiration date.

* Matches license plates to sticker number and registration documentation prior to shipping.

* Responsible for ensuring team is accurately shipping transactions to Vendors/Registrants/Clients daily.

* Cross-train across multiple functions for proficient processing of transactions and inventory.

* Monitors and directs the daily activities of a team of Registration Administrators to ensure all daily tasks are performed and shipping deadlines are met.

* Responsible for TM training and assisting with team staffing.

* Responsible for daily metrics reporting to Supervisor/Manager.

* Assists TMs with processing and procedural question.

* Primary office contact for client inquiries and inventory orders.

* All other duties and tasks as assigned.

* Assist external TMs with questions about transactions and/or state processing requirements.

* Repetitive procedures: Data entry-typing; inserting license plates and documents into envelopes

* May require standing for long periods of time

* Requires repeated bending and lifting >35 lbs

Qualifications: *Minimum Requirements: *




* High School Diploma or Equivalent

* 5-7 years professional experience

* DMV registration and title processing, inventory management/shipping

* Must be self-motivated and possess ability to meet deadlines with little supervision

* Must be a leader who can manage a team in a high volume office

* Excellent communication skills (verbal and written)

* Strong attention to detail

* Ability to multi-task

* Must be technically savvy with a proficiency in Microsoft Office and ability to become proficient in a proprietary software platform

* Organizational skills

* Ability to work in a fast-paced environment

* Must have a clean driving record and be able to pass a background check

* Demonstrated Professionalism
