Michaels House is currently seeking an Intake Specialist, to be responsible for gathering information via telephonic or in-person interview to collect information related to substance abuse, risk, medical condition and mental health in order to determine the most appropriate treatment setting for potential patients. The Intake Specialist will verify insurance coverage and/or discuss alternate methods of payment. The Intake Specialist initiates and completes the admission and intake process and maintains follow-up communication with referral sources, families, patients and program staff to maintain a quality intake. The ideal candidate will have the ability to inspire our clients confidence in both our staff and the FRN Model of Treatment by exhibiting a high level of both knowledge and compassion. Job Requirements

Essential Duties and Responsibilities

  • Answers all inquiry calls and questions related to Michaels House programs and services.
  • Maintains responsibility for tracking and monitoring patient call dispositions. Ensures that all calls are documented and appropriate follow up steps are identified.
  • Performs follow-up telephone calls to all pending intakes and to all who do not present for a scheduled appointment.
  • Provides intake, admission, and program information to potential patients, their families, and referral sources.
  • Attempts to obtain all pertinent clinical, demographic and insurance information from the caller to determine callers needs.
  • Assesses prospective clients against established ASAM criteria and Michaels House admission and exclusionary criteria for treatment, identifying psychosocial, mental health and medical issues.
  • Consults with clinical or medical staff to determine appropriateness for treatment, when needed
  • Collaborates with FRN Admissions Center on pending intakes.
  • Coordinates intake functions with designated intake staff at the program.
  • Ensures that all after-hours inquiry calls are tracked and managed appropriately.
  • Verifies insurance coverage.
  • Administers Breathalyzer and Urine Drug Screening upon intake; document accurate results.
  • Obtains relevant releases of information.
  • Collects patient co-pays, deductibles and all other out-of-pocket, cash collections (i.e. full self-pay payment plans) that are due at intake.
  • Conducts admissions with the patients and others safety in mind at all times, being mindful of potential contraband, escalation or violence throughout the intake process.
  • Accurately completes all admissions paperwork in a timely manner in accordance with UR and facility standards.
  • Documents all required intake information into TIER and other electronic data tracking systems.
  • Maintains referral source communications and ensures that referral related information is relayed to treatment team.
  • Communicates all pertinent clinical information and documentation related to patients intake process to the treatment programs.
  • Explains patient rights and reviews patient handbook with patients within 24 hours of admission.
  • Maintains census and bed availability information on an ongoing basis.
  • Introduces new clients to Therapeutic Community.
  • Ensures intake paperwork is complete and accurate. Creates intake files. Files intake-related documents.
  • Attends staff meetings as indicated and treatment team meetings when necessary to monitor results.
  • Engages suicidal ideation protocol when appropriate.
  • Conducts initial intake Assessments in accordance with protocol and policies, and collaborates with the Clinical Team accordingly.
  • Other reasonable duties as deemed necessary by the Intake Manager

Knowledge, Skills and Abilities

  • Ability to inspire client confidence in the FRN Staff and the FRN Model of Treatment.
  • Ability to consistently demonstrate through conduct and communications the stability required to effectively assist clients and their family members through the FRN Model of Treatment.
  • Excellent verbal and written communication skills (English) required.
  • Ability to understand the variety of insurance and health maintenance options available and the importance of helping patients access those benefits.
  • Must have high level of interpersonal skills. Position continually requires demonstrated professionalism, tact and diplomacy.
  • Exercise good judgment and successfully handle ambiguity.
  • Strong written and oral communication skills, and ability to write excellent intake assessments in a timely way.
  • Respectful of diverse cultures and gender-specific issues and the ability to incorporate needs of gender, gender identity, gender expression, sexual orientation and other culturally diverse groups into the organization.
  • Excellent organizational skills with the ability to prioritize workload and meet deadlines.
  • Strong knowledge and demonstrated proficiency to work with a variety of computer software applications in word processing, spreadsheets, and presentations (MS Word, Excel, and PowerPoint) is required. Proficiency in MS Access (or other database program) is preferred.
  • Understands need for and maintains appropriate confidentiality and adheres to HIPAA regulations at all times when interacting with patients, families, visitors, referral sources and all other contacts.
  • Exhibits excellent customer relation skills as evidenced by supportive and constructive communication with all contacts including coworkers, patients, visitors, families and referral sources.
  • Knowledge of addiction, addictive process and recovery as well as co-occurring disorders.
  • Knowledge of group process, group facilitation, and de-escalation techniques.
  • A current, valid CA drivers license is required. Class B license is required within 90 days of hire date.
  • Transportation of patients to/from airport.

Education and Experience

  • Masters degree in psychology, social work, or related field required.
  • Licensure as an ASW, MFTI or similar level of licensed intern in CA as a therapist required. .
  • Continuing education will be required.
  • At least 3 years of demonstrable, directly-related experience in a treatment/addictions environment, behavioral health, healthcare environment, or related field.
  • Training and/or experience in administering UAs, breathalyzer tests, and other required tests preferred.
  • California Mandated Reporter.

Work Environment and Physical Demands

  • Sits, stands, lifts and moves intermittently during work hours.
  • Must be able to lift, push, pull and/or move up to 60 pounds.
  • Position requires some work on the computer requiring manual dexterity and visual acuity.
  • Flexibility to work all shifts, including holidays, weekends and evenings.
  • Must be licensed to drive multi-passenger vehicles (Class B drivers license) with a passenger endorsement within 90 days of hire, unless this requirement is waived in writing by HR.
  • Michaels House is an at-will employer.
