The HIM Customer Service Associate is responsible for answering all inbound calls from patients and third party requestors regarding release of protected health information. The HIM Customer Service Associate will perform release of information duties in accordance with HIPAA, State, and Federal Law. In addition the HIM Customer Service Associate will be responsible for accepting payments for records and assist callers with locating forms on Westmeds website and how to complete forms. The HIM Customer Service Associate will foster working relationships with The Release of Information Associate and other departments to ensure timely resolution related to any issues with daily operations

This position is full-time (40 hours/week) Monday - Friday. Employees are required to work our normal business hours of 8:00am 5:00pm. It may be necessary, given the business need, to work occasional overtime or weekends.

  • Answers phone calls in a timely, proficient manner in accordance with HIM Policies and Procedures.
  • ""
  • Greets patients via telephone in a professional manner in accordance with WESTMED Customer Service standards.
  • ""
  • Ability to remain polite and patient throughout every call.
  • ""
  • Actively listens to patient request without interruptions.
  • ""
  • Ability to organize thoughts and explain concepts in a clear and concise manner.
  • ""
  • Understand and establish authority of the caller prior to discussing PHI.
  • ""
  • Reviews authorizations for ROI to ensure all elements are met per HIPAA guidelines.
  • ""
  • Assists patients in completing authorizations.
  • ""
  • The ability to use good reasoning and quick thinking skills to assist patients request.
  • ""
  • Respond and reply to flags from HIM desktop in timely manner.
  • ""
  • Ability to follow the urgent request criteria for a physicians office.
  • ""
  • Accepts and accurately posts payments.
  • ""
  • Ability to navigate multiple systems in order to assist callers questions.
  • ""
  • The ability to work with minimal supervision and willingness to research and utilize all resources to assist callers.
  • ""
  • Follows all departmental policies, procedures and performance standards for Customer Service
  • ""
  • Performs all established quantitative and qualitative work standards to meet
  • ""
  • Meets productivity and quality goals/standards as set by the Department.
  • ""
  • Supports HIM departmental productivity requirements through all processes, including customer service as necessitated by volume and/or staffing levels.

  • Maintains the confidentiality of all patient, client, and facility information at all times, both while on and off duty.

  • Adheres to health information regulations including HIPAA, AAAHC and CMS as applicable.

Required Qualifications:

  • High School Diploma or GED (or higher)
  • ""
  • 1+ years working in a health information management department, large outpatient clinic, or acute care facility or 1+ years in a High Volume Call Center
  • ""
  • If you need to enter a work site for any reason, you will be required to screen for symptoms using the ProtectWell mobile app, Interactive Voice Response (i.e., entering your symptoms via phone system) or similar UnitedHealth Group-approved symptom screener.
