Unit Description

Purpose of Position

The Operations Coordinator is responsible for the coordination of housing support for the Summer Conferences Program, management of the furniture program, management of the vehicle and equipment program, management of other minor support programs, management and coordination of a year round student crew for facility support.   Duties also include analytical and communications support for all HRL Facilities functions. The Operations Coordinator for Facilities is supervised by the HRL Operations Manager for Facilities and will coordinate extensively with both the HRL staff and the Department of Facilities Management (DFM) staff.


Primary Duties and Responsibilities

The following duties are customary for the position, but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.

  •  Coordinate Summer School & Conference Housing program(s)
  • Coordinate the Hall assignments and occupancy needs for each Summer School and Conference Group
  • Program management of all furniture and furnishings inventory, maintenance and replacement requirements
  • Program management of all inventory, maintenance and replacement of HRL vehicles and equipment
  • Program management of all inventory, maintenance and replacement of appliances
  • Serve as a contact point for property and vehicular insurance providers and interested parties
  • Provide analytical support for all Facility work management systems and communications
  • Serve as database facilitator for all Facility Operations tracking metrics and KPIs
  • Monitor and report energy consumption and analytical trends
  • Assist in coordinating labor calendars, work scheduling, and emergency dispatch as needed for maintenance and housekeeping functional areas
  • Assist Housing staff with student and public engagement in operational and maintenance concerns
  • Assist in the administration of the departments pet policy for live-in staff
  • Serve as a liaison to the Office of Community and Campus Events for Summer Schools and conferences
  • Participate in scheduled inspections in residence halls and apartments to assess needs for assigned areasCoordinate tracking and maintenance of all standard residence hall and apartment signage
  • Serve as departmental point of contact for all Vending, IT, TV, and Cable repair requests and reports
  • Assist with resident check-out functions, damage assessments, and associated damage billing
  • Other duties as assigned

  • Ability to extract data from Computer Maintenance Management Systems (CMMS) and conduct data analytics
  • Ability to organize and create clear graphical, word and pictorial presentations

Position Summary

Serves as working lead supervisor or coordinator to schedule the activities of skilled trades, custodial or grounds workers engaged in maintaining and repairing equipment, structures, utility systems, buildings, and grounds. Gives work assignments to workers as needed for maintenance. Performs administrative functions and services. Leads in building maintenance projects.
