Unit Description

Sodexo is seeking an hourly Facilities Coordinator/Assistant for Keystone College, in La Plume, PA, and is a private Liberal Arts College with 1,200 students on 276 acre campus. This campus is just 30 minutes from Scranton. Sodexos Facilities department oversees Integrated Facilities services including maintenance, custodial, grounds and athletic fields.  This Facilities Coordinator/Assistant role will be responsible for planning and scheduling all Work Orders for General Maintenance workers and subcontractors for the maintenance of Keystone College.  Prior experience in clerical/administrative support in Facilities is desirable.


Combine your proven leadership and facilities management technical expertise to provide the highest level of service, innovation, and quality to enhance existing (or new) client programs including short and long range planning, construction/renovation projects, preventative and corrective maintenance, waste refuse and recycling management, grounds and landscaping. 


Role and Responsibilities:

  • Day to day - Processing financials - facilities.  Tracking invoices, POs, billing to client.
  • MAXIMO - performing work order clerk functions, inputting WO, close out WO, pull reporting.  Enter new equipment, old equip.  
  • Interacting with Client - billing, etc.  Strong customer Service skills, professional communications. Point person answering the phones to FAC.  Following up with Client depts on status of requests.  
  • Reserving conf rooms/spaces for our FAC teams for meetings - on campus or other SDX staff when visiting.
  • Gatekeeper of our account info/tracking - daily injury report data, ASSIST existing managers with Safety RECORDS and education for our employees.  Maintaining personal files as requested - Licensing and training. Tracking \"maintenance requests from outside vendors - Quotes, etc
  • Facilities reception - front facing, coordinating with events planners, etc.
  • Mailroom backup - and event coordination and set up. 
  • tasked re: walk throughs, inspections and follow up on work orders. 
  • Equip Maintenance Tracking - vehicles or equipment maintain file for scheduled repairs - golf carts, utility carts, etc. 
  • Driving may be required travel to post office, pick up parts, etc. Must have a valid Drivers License.
  • This client requires a COVID-19 vaccine to work at this location.

Position Summary

The Operations Support Specialist will assist in providing general customer support to resolve issues. Will also assist in providing problem analysis and resolution, either via direct communication with the account or by informing the manager of issues that will require a more in depth effort. Assists in answering questions and inquiries from customers via the telephone, Internet, fax and other technologies, using established fact-finding procedures, customer service methodologies, knowledge of pertinent processes and procedures, and familiarity with policies, vendors and specified products. Works with other departments for vendor and product compliance. Be able to handle a large volume of inquiries every day. May supervise less than two full time employees.
