Performs a variety of project administration support services involving data review, reporting, project coordination, budget review, and other related duties in support of the Project/Program Manager. Provides support to the Project/Program Manager in planning, managing, and monitoring projects through its life cycle. Works on overall project planning through reporting on project schedules and deliverables. Briefs management on the status of action items and metrics to track contract performance. Coordinates projects; develops system for data collection, reporting criteria and records; researches and compiles statistics and data for projects; may assist in writing narratives for reports. Monitors project timeline; tracks document submissions; creates, monitors and maintains audit files. Identifies, communicates and resolves risks. Identifies and resolves issues to eliminate or mitigate the occurrence of consequences that may impact the success of the project. For program compliance, designs and implements procedures to fulfill project objectives and criteria; may prepare memorandums; works with agencies to resolve concerns and issues. Prepares monthly variance reports with associated footnotes. Evaluates and monitors the performance and efficiency of programs to ensure that program implementation is on target.


  • Performs a variety of administrative duties, providing support as executive secretariat to the National Intelligence University Board of Visitors (BoV), an advisory board composed of individuals with a broad spectrum of military, intelligence, and academic experience, enabling them to offer unique insights and perspectives to NIU leadership on all facets of University operations.
  • Provide assistance to the completion of moderately complex tasks and requirements for general board and/or program support. The nature of the position has some autonomy and latitude in planning, organizing, and decision making to fulfill work requirements.
  • Serve as liaison between the BoV members, designated NIU faculty and staff, and government personnel.
  • Coordinates the workflow of multiple critical issues within a continuously adapting schedule for the BoV, cognitive of the criticality, sensitivity, and confidentiality of the issues both internally and externally within the government and the private sector.
  • Maintains an awareness of internal structural levels and hierarchy within the BoV by being cognizant of internal and external interrelationships, styles, and methods of operations.
  • Performs a comprehensive range of direct executive support to a BoV of approximately 12 individuals.
  • Maintains a schedule of appointments that involves maintaining calendars, arranging transportation, reserving conference rooms, and coordinating with otherattedees.
  • Prepares meeting agendas, assembles and prepares briefing/background information, and documents discussion/decisions/action items from each BoV meeting to produce meeting minutes.
  • Disseminates meeting minutes to appropriate organizations, coordinates for action/follow-up on those items as directed by the BoV, tracks the assignment/status/completion of these taskers.
  • Prepares background books and/or talking points papers, as needed.
  • Monitors and coordinates e-mail for action items; creates a system to generate reminders of completion deadlines.
  • Answers phones; places, screens, and refers calls to appropriate ODNI entities; takes messages and follows-up accordingly to ensure adequate resolution of issues and concerns.
  • Prepares for BoV and their invited guests/visitors by initiating or passing any needed security clearances, badging, and escorts visitors as needed.
  • Disseminates the Board of Visitor's schedule to appropriate staff and acts as liaison between the BoV and others.
  • Receives, sorts, and screens incoming mail; categorizes and prioritizes responses as needed.
  • Develops and maintains accurate records and files management systems.
  • Maintains an efficient office environment; may include assisting in the ordering of supplies, arranging for the repair of office equipment.



  • Minimum seven (7) years of experience as an administrative professional.
  • Minimum three (3) years of experience working within the intelligence community performing similar tasks listed above.
  • Demonstrated intermediate level of experience of Microsoft Office Suite applications to complete routine to moderately complex tasks.
  • Excellent oral and written communication skills sufficient to compose and deliver responses to customers' complex questions in a clear and concise manner.
  • Ability to obtain extensive knowledge of protocol and precedence, and ODNI/IC structure, regulations, and policies.
  • Analytical skills sufficient to assess and interpret moderately complex information from multiple sources and draw insightful conclusions.


  • Experience supporting Senior Staff within the Federal Government.
  • Associates Degree or higher in a related field.
  • Professional business certification related to the position's scope and responsibility.
