Executive Assistant VP, Category & Supplier Management

What You'll Do

You will be extremely proactive with a professional and approachable demeanor in all interactions; possess excellent communication skills with all levels of staff, executives, customers, suppliers, vendors; and sound judgment. In this role, you will provide support for calendaring, travel, expenses, along with management and oversight of special projects, as needed. To perform these tasks effectively, you will be expected to become familiar with the services, people, and organizational dynamics within Cisco's Global Procurement Services team. You will be expected to understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources and other needs from the VP and his leadership team. In addition to supporting this VP, you will also provide support to a Sr. Director on the team. You will be responsible for determining when to refer matters to others, and to whom they should be referred. You will become a core member of the VPs team, attending staff meetings and all team meetings.

Responsibilities include:

  • Calendar Management: Manages VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings to attend, and who can attend on behalf of.
  • Speaking Engagement Coordination: Manages the VP's heavy speaking engagements and works closely with communications team to ensure content needs are understood and set in motion so the VP is prepared for each engagement.
  • Meeting Planning and organizations: Assists VP in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item list.
  • Correspondence/Approvals: Supports VP by acting as proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Takes initiative to resolve issues within specified policies and guidelines, and provides mentoring to administrative community members on problem solving. Determines when executive action is required and supplies a recommendation where appropriate.
  • Travel: Responsible for making travel arrangements for VP. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses.
  • Special Projects: Provides analytical support to assist executive on special projects. Researches issues, analyzes problems, compiles data, and prepares reports. Supports the VPs team on projects.
  • Confidentiality: Candidate will deal professionally with sensitive and confidential matters and materials.

Due to the frequent engagement of the VP across Cisco as a whole, this individual will collaborate with and coordinate activities with other EA's and executives in Cisco. Work is generally of a critical and confidential nature.

Who You Are

You have experience providing support at the VP level. You take initiative, can handle a full desk with ease and thrive in a busy environment.

Our minimum requirements for this role:

  • 8+ years' experience in administrative environment. A minimum of 4 years of experience supporting a Principal who was at the VP level.
  • Outstanding track record of performance, working primarily from the office Monday through Thursday.
  • Experience in planning meetings and coordinating travel.
  • Expert level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint. Web communities skills a plus.
