Cox Business currently has an exciting opportunity for an *Executive Assistant I* to provide support to our two Vice Presidents. This person will provide seamless execution of tasks, including team management and assistance with correspondence, extensive calendar coordination, meeting preparation, payment processing, recordkeeping, and management of special projects, as needed. The role requires sound judgment and decision making, and confidentiality in handling sensitive information.



*Primary Responsibilities and Essential Functions:*




* Manages complex, changing calendars: schedule and prioritize meetings, appointments, rooms, equipment, catering and other resources.

* Arranges travel (air, hotel, transportation) and coordinates agenda with Regional staff when required. Coordinates Senior Leadership Staff Meetings and all department meetings: efficient in securing the venue/meeting room, audiovisual needs, transportation and catering, as appropriate and plans any off-site activities; provides administrative support on-site during meetings; to include meeting agenda, minutes, etc.

* Prepares presentations and other documents using MS Office with an emphasis on PowerPoint.

* Screens all telephone calls, takes messages, responds to questions, and directs callers to appropriate parties.

* Maintains confidential information and secure access to sensitive personnel and company information.

* Maintains, updates or creates databases and/or database information.

* Codes, compiles and files correspondences, records, documents and reports according to an established system.

* Takes and prepares notes of meetings, conferences, and similar proceedings; attends conferences to provide administrative support.

* Sorts and distributes mail and packages to appropriate team members and departments.

* Prepare courier, Fed Ex and USPS packages for pick-up.

* Greets and assists visitors and arranges for escorts, as necessary.

* Prepares, checks and processes expense reports and invoices.

* Prepare, organize and maintain documents and files of a complex or confidential nature, track budget expenditures.

* Types letters, memoranda and reports from drafts and proofreads and reviews documents for grammatical and numerical errors.

* Interacts daily with C-level executives, leadership team, and their assistants.

* Coordinate requests through various corporate depts. to include: facilities, security, human resources, and legal as needed.


Qualifications: *Minimum*




* 5+ years of experience in a related area of responsibility

* Advanced knowledge of MS Office software (Word, PowerPoint, Excel, and Outlook) and Oracle required

* Ability to prioritize multiple work assignments by thinking and planning ahead

* Excellent planning, organization, meeting coordination and project management skills

* Must be detail-oriented, able to develop and maintain highly efficient work environments, and able to effectively prioritize with proven time management skills

* Excellent interpersonal skills with the ability to relate professionally with executive-level management and their admins

* Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive in a fast-paced environment

* Strong written and verbal communication skills, with the ability to use judgment to field inquiries professionally and efficiently

* Must have experience managing and maintaining confidential, business and personnel sensitive information

* Strong calendar management skills

* Self-sufficient, driven individual capable of working with little direction to accomplish the tasks and be able to recommend improvements but at the same time be able to follow directions from upper management

* Motivated by a strong work ethic and positive attitude to ensure an effortless team environment

* BS/BA degree in related discipline strongly desired (i.e. Business, etc.)

* 3-5 years experience supporting multiple VP-level executives and their teams

* Experience in the technology/telecommunications industry would be beneficial
