Job Description

The Corporate Records Associate Manager (titled internally as Legal Associate Manager, IT & Records Management) will be responsible for the following:

  • Maintain knowledge and awareness of current industry trends as well as current methods and technologies related to active and inactive records management.
  • Work closely with department representatives and records coordinators to lead the disposition of records, archiving and exceptions, for information stored on all types of media (e.g. electronic, optical, microfilm, and paper).
  • Responsible for conducting/coordinating records management audits to ensure compliance with records management and information governance policies.
  • Day-to-day operation of the compliance and training aspects of records management and information governance, including assisting in the management of projects to effectively deliver all services, and training business partners.
  • A strategic member of the team to identify systems and process improvements to deliver an effective records management and information governance program.
  • Assist with overseeing vendors and records storage facilities in a way that ensures not only compliance with but also is proactive in its management of the organizations business records.
  • Member of Global Privacy Legal Team, leading the development and management of privacy education and awareness tools.
  • Assist with the development and implementation of monitoring and reporting metrics for the privacy program.
  • Collaborate with the Litigation team to support the litigation hold process and to ensure application development is compliant with litigation requirements.
  • Draft and negotiate non-disclosure agreements with IT vendors to minimize risk to the organization.
  • Draft other IT transaction agreements with strategic vendors.

Qualifications/Requirements

  • Requires BS/BA degree from an accredited institution, preferably in the area of records management
  • Prefer Masters degree
  • Requires Certified Records Manager certification or be on track and willing to complete once placed in the role; will also accept CRA or IGP certification
  • Require 5+years (prefer 5-8 years) of solid experience in corporate records management
  • Practical leadership experience with all aspects of developing, implementing and managing records management program including related policies, procedures, practices, budgets and strategic plans
  • Strong knowledge of records retention laws, rules and regulations, including SEC and environmental rules
  • Must have a solid record of technical skills in records management including systems, electronic records handling, imaging as well as best practices
  • Strong verbal communication skills, both within the organization and with external parties
  • Highly organized, with strong attention to detail
  • Ability to think conceptually along with experience in developing methodology for which there is no established process or existing guidelines in order to achieve objectives and project goals
  • Excellent writing skills. Experienced in writing policies and procedures
  • Ability to communicate records management processes and group training facilitation
  • Solid computing skills with demonstrated ability to learn new applications and effectively use established ones.
  • Windows 2010, Proficient in MS Office 2018 (Word, Excel, PowerPoint, Outlook, Teams), SharePoint 2007 or higher, iManage or other document management system.
  • Privacy compliance experience preferred
  • Contract drafting experience preferred
  • This position is limited to persons with indefinite right to work in the United States
