We are seeking a full-timeBusiness & People OperationsCoordinatorto provide support to the Health Care Research department. As anAdvisory Boardteam member, the Coordinator manages an array of business functions critical to the success of the department. The Coordinator will gain experience and expertise within thecompanybyservingasan important role both internally and externally as a liaison, information resource, and key point of contact.

Primary Responsibilities:

  • Executive Support"""
      """
    • Manage and maintain calendars for up to 7 department executives
    • """
    • Schedule and coordinate internal and external meetings and calls, including preparing invites, agendas, and electronic and/or hard copy materials
    • """
    • Assist in arranging special team and department events, functions, and meetings
    • """
    • Provide other administrative, operational, and project support to senior leadershipas needed
    • ""
    ""
  • ""
  • Business Operations

  • Department recruiting / hiring support"""

    • Assist with collateral creation for career fairs
    • """
    • Manage logistics for on-campus, in-office, and virtual interviews

    • Work closely with Optum early careers and immediate recruiters, and with Operations team leadership and hiring managers across the division
    • """
    • Coordinate recruiting days and career panels
    • """
    • Handle in-the-moment problems, triage follow up requests,propose and implement process improvements
    • ""

  • Business Segment Liaison (BSL)"""

    • Act as internal and external liaison for the Health Care Research division
    • """
    • Coordinate onboarding process for incoming department staff members
    • """
    • Work with hiring managers and Optum counterparts to prepare hardware, software, and technology needs for new hires to ensure smooth entry into new role
    • """
    • Communicate with new hires in advance of start date and during first few weeks to support onboarding and troubleshoot in-the-moment problems
    • """
    • Manage software request approvals for current staff
    • """
    • Support hiring managers in ensuring efficient offboarding for departing employees, including asset recovery
    • ""
    ""
  • ""
  • Department communication and support""
      """
    • Own database maintenance and document updates, including department org charts, distribution lists, internal Microsoft Teams Channel, Salesforce platform
    • """
    • Play active role in compiling department biweekly newsletter
    • """
    • Own logistics and ensure seamless attendance experience for department-wide events and trainings, including monthly town halls and communication days
    • """
    • Coordinate travel and itineraries for executives on an as needed basis
    • """
    • Track expenses and submit expense reports for executives on a regular basis
    • ""

  • Webinar management""

    • Build webinar landing pages using Advisory Boards content management systemand webinar platform

    • Troubleshoot and escalate technical problems leading up to and day of event

    • Launch webinars and handle upfront housekeeping commentary with grace andprofessionalism

    • Compile, analyze, and distribute webinar scores to presenter(s) and leadershipteam

Required Qualifications:

  • Associate's degree and 2+ years of administrative work experience in a professional corporate environment OR a Bachelors degree
  • ""
  • Possess at least two of the following:""

    • Experience supporting senior business or department leaders
    • """
    • Customer service experience
    • """
    • Experience working in a team environment
    • """
    • Experience working in a fast paced, highly matrixed environment
    • ""
