Provide administrative support for the Portfolio and Project Management (P&PM) Group. Direct partnership with the Leader (V.P.) of the group on select assignments (help establish strategic partnerships). The successful candidate is responsible for a variety of administrative support duties including assisting colleagues with room and calendar reservations, travel booking, meeting coordination, supply ordering, on-boarding and other assistance with facility and personnel administration. The candidate will excel in working in a team environment with other administrative and operational personnel as well as P&PM Leadership Team (LT) members to provide support for the P&PM organization. Keeping select databases current and tracking metrics are also required.


+ Meeting support: room reservations, audio/visual assistance, coordinating catering, manage recurring meetings for P&PM including cross-site videoconferences, manage meeting agenda documentation, upload presentations/minutes to SharePoint

+ Travel reservations and expense supports for P&PM LT

+ Manage group calendars

+ Handle confidential information with discretion

+ Support of hiring through onboarding of new colleagues: lead the set- up of interview schedules, serve as an escort, assist in on boarding, ensure new colleagues are equipped with computers, desk space, etc.

+ Interface with site services regarding maintenance of office areas and office equipment

+ Order supplies

+ Support P&PM operations through maintenance of on-board colleague and contractor data

+ Regularly communicate the status of requests, identify new ways to help P&PM colleagues make their work easier to get done, engage and help other administrative team members with larger events or initiatives


+ High School diploma or GED

+ 10+ years of related administrative business experience with 5 years in corporate environment.

+ Superb organizational skills, detail orientation and ability to prioritize in the face of ever-changing priorities are a must.

+ Adaptable to meet changing business needs with a 'can do' attitude.

+ Team-oriented, self-starter who comfortably executes responsibilities with limited day to day supervision.

+ Excellent collaborative, interpersonal, communication and problem-solving skills to ensure a smoothly running, supportive environment and sensitivity for handling confidential information

+ Proficiency with MS Outlook, MS Word, MS PowerPoint, MS Excel

+ Proficiency with enterprise systems such as travel/expense reporting,

+ repositories such as SharePoint, Teams, supply ordering systems, etc.


+ Associates or Bachelors degree

+ Prior experience working with Pharma, High tech or highly regulated industries


Requires light lifting, frequent walking between floors to assist with meetings or office space, extensive computer use


Minimal travel to other P&PM sites may be beneficial but would not be required (<2>
