What You'll Do

You will provide support for calendar management, meeting planning, communications, budget management, travel & expenses, events, workplace support, and special projects. To perform these tasks effectively, you will become familiar with the Global Supplier Management (GSM) organization, various commodity teams, internal partners, and key suppliers.

You will act on behalf of the GSM Directors and be interface to both internal stakeholders as well as external supplier representatives. You understand how to prioritize multiple activities, incoming asks for time, meetings, resources and other needs from the team, all with varying degrees of criticality and priority. You ramp quickly and will add immediate value helping the Directors prioritize their time and energy. You will be an integral part of the team and bring excitement and energy into the office.

You are a core member of the Directors teams providing the following support:

  • Calendar Management: Manage Directors calendars by prioritizing meetings/events, including allotment for travel time and/or prep-time between meetings. You are also proficient in managing meetings and events across multiple regions and time zones.
  • Meeting Planning and Organization: Assists Directors in planning and organizing meetings by taking responsibility for crafting the agenda, location, meeting technology (WebEx, TP, etc.) and catering. May further assist with meeting prep (agendas, briefing documents, supplier white papers), meeting participation (note taking and action items), and post-meeting follow-up (publishing meeting minutes and action deliverables).
  • Communications: Supports Directors by acting as a proxy for communications and approvals as authorized. Maintain various mailers and contacts (internal and supplier). Answer general questions as necessary and refers routine matters to appropriate contacts with follow-up to ensure accurate disposition.
  • Budget Management: Assist in the monitoring and management of training, travel, and connected recognition budgets.
  • Travel & Expense: Responsible for making travel itineraries for supported Directors, including assistance with documentation for international travel where required. Carefully considers and decides the optimum travel arrangements and itinerary for planned meetings/events as well as coordinates with hosting locations/suppliers to ensure an efficient travel experience. Upon return, submits expenses in accordance with Cisco travel and expense policy.
  • Events: Provide planning and execution support of large GSM events such as the supplier roadshow, supplier events, holiday parties, team meetings, offsites, training events, philanthropy events, and fun-fund events.
  • Workplace Support: Coordinate with WPR for office maintenance and repair orders, office supplies, and workspace access.
  • Special Projects: Provide project management support for GSM Executive Operations projects. May include analytical support as needed on special projects. Researches issues, analyzes problems, compiles data, and prepares reports where needed.

We are an organization that is responsible for sourcing and managing the supply base for Cisco products. In this role, you will work hand-in-hand with the GSM Leadership team and entire organization. You will collaborate with suppliers, and cross-functional leaders within other areas of Operations, Legal, Finance, and Engineering and Business Units.

Minimum Qualifications:

  • 5+ years experience in an administrative environment. A minimum of two years of experience supporting Director level executives and above.
  • Great attention to detail and the maturity to handle sensitive and confidential information.
  • Experience managing domestic and international travel.
  • Proxy calendar management experience.
  • Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff, stakeholders, and suppliers.
  • Advanced knowledge of Mac/Windows desktop computer applications: Outlook, Word, Excel, PowerPoint. Knowledge of WebEx, and TelePresence.
  • Past work experience in the high-tech industry is desired
