What You'll Do

As part of the CX CloudOps team, you will be very dedicated with a professional and approachable demeanor in all interactions; possess excellent communication skills with all levels of staff, executives, Distinguished Engineers, analysts, customers, vendors; and sound judgment. You will provide full calendar support, lead logistics for travel and meetings, and be flexible to assist with all matters that require the attention of the Strategy & Operations leader. You will work collaboratively across partners to drive alignment, communications, and operational excellence as a core member of our growing team and organization.

This role will offer an opportunity to work cross-functionally within CX, Cisco, and the industry, as well as gain a stronger understanding of how Engineering, Product Management, and the CloudOps teams function within Cisco. As you demonstrate creative approaches to problem-solving and strong independent decision-making capabilities, you will gain opportunities to pursue growing levels of program management, exposure to many aspects of our business, and opportunities to take on special projects as needed, including high-visibility initiatives.

Responsibilities include:

  • Provide high-touch administrative support and ensure organized, efficient operations that conserve time for the Insights & Innovation team leader.
  • Handle and maintain a heavy, active, and complex calendar, and respond to copious meeting requests that require frequent re-prioritization.
  • Effectively work with executives and employees; collaborate with the Executive Assistant team for both CX Engineering and Cisco
  • Ownership of I&C initiatives across the team, providing appropriate prioritization.
  • With eloquence and poise, act as an ambassador for the Strategy & Operations team, company-wide, and to external contacts.
  • Plan executive workshops, plan-organizational project reviews, panels for analysts.
  • Coordinate and organize site-wide and virtual events.
  • Meeting Planning and organizations: Assists in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based on participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post-meeting action item list.
  • Administrative leadership and facilitation of back-office duties such as staff meetings, all manager meetings, all org meetings, strategic off-sites, and planning sessions. Create and manage the organizational calendar of meetings, events, and checkpoints. Handle compliance of actions and drive to closure.
  • Travel Briefing Preparation: Create travel packs for international trips as well as large domestic events such as Cisco Live, etc. This work includes combining all event information in addition to coordinated logistics of travel and customer/team asks. Work in close partnership with the team on travel briefings and prep.
  • Correspondence/Approvals: Supports two Senior Leaders by acting as a proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Figures out when executive action is required and supplies a recommendation where appropriate.
  • Travel: Responsible for making travel arrangements for two Senior Leaders and occasionally additional team members. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while handling Cisco expenses. Works diligently to go above and beyond
  • Special Projects: Provides analytical support to assist executives on special projects. Research issues, analyze problems, compiles data, and prepares reports.
  • Confidentiality: You will deal professionally with sensitive and confidential matters and materials.
  • Team Operations: Supports and streamlines team operations, including logistics, new-hire onboarding, meeting preparation and follow ups.
  • Executes special or continuous research and data analysis tasks.
  • Assist business functions with data analysis for business/value case development for key pivotal initiatives.

Minimum Requirements:

  • You have experience providing support at the global executive level. You take initiative, can handle a full desk with ease, and thrive in a busy environment.
  • Bachelors degree or Associates Degree in related field
  • 5+ years experience in the administrative environment. A minimum of 4 years of experience supporting executives at the Director level or above.
  • Outstanding track record of performance.
  • Experience in planning meetings and coordinating travel.
  • Expert-level knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
  • Flexibility and problem-solving skills that reflect the ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail.
  • Expert-level written and verbal communication skills.
  • Excellent verbal and written communication skills.
  • Self-directed: able to determine priorities, make decisions, and handle time well. That said, not afraid to ask questions and for help when needed.
