Our recently expanded 112-bed inpatient program has 4 units. Job Requirements

Job Description: Provides administrative support for the CEO and Administration Department. In addition to mail, maintaining office supplies and data entry, performs duties such as Committee scheduling, agenda and preparation of minutes, payroll back-up, preparation of business correspondence, credentialing of Medical Staff and oversight of contracts. Independent judgment is required to plan, prioritize and organize diversified workload. Reports directly to the CEO.


Administrative Functions

Provides administrative support to the CEO and Administration. Responsibilities include sorting and distributing mail, tracking and reporting staff call-offs, maintaining office supply inventory, copier service and repair, preparation of the monthly calendar, coordinating Service Excellence recognition including staff apparel orders, data entry of staff training records into Healthstream.

Meeting Minutes

Responsible for all Hospital Committee scheduling, agenda and preparation of minutes. Responsible for the timely and accurate completion of Executive committee and Medical Staff meetings.

Medical Staff Credentialing

Responsible for organizing, maintaining, and verifying all aspects of the credentialing process for Physicians, Psychiatrists, Physician Assistants and Nurse Practitioners. Coordinates the Physician on-call schedule.


Responsible for oversight of CPC contracts. Prepares contracts for Corporate Legal review, working with vendors on terms. Obtains current Certificates of Insurance on vendors.

Payroll Processing

Provides back-up to the Finance Manager for processing biweekly payroll as necessary.


Demonstrates the highest standards of professionalism in oral and written communications. Composes correspondence that is accurate in spelling, grammar and sentence structure.


Identifies sensitive and confidential information, and maintains strict confidentiality of all such information.

Education: Associates Degree required.

Bachelors Degree in related field preferred.

Experience: Five years secretarial experience required, preferably in a hospital setting.

Knowledge / Skills: Use of personal computer, Microsoft Office, typewriters (able to type 60 wpm), multi-line phone, use of general office equipment. Competent to complete meeting notes and minutes with minimal supervision

Supervision Received: CEO

General Working Environment: Hospital setting. Staff working in this position may be required to intervene and assist with aggressive patients. Works in a well lighted and ventilated setting, is subject to frequent interruptions, is involved with the patients and personnel throughout designated unit under varying conditions and circumstances. Is subject to exposure to infectious waste, diseases, conditions, etc., including exposure to HIV and Hepatitis B Viruses

Physical Requirements: Ability to communicate verbally and in writing. Must be able to lift a minimum of 50 lbs. and be able to walk and stand for long periods. Able to participate in crisis prevention intervention.
