Foundations Recovery Network is currently seeking a Senior Conference Meeting Manager, to provide leadership for the daily coordination of our annual national and regional conferences and workshops. The successful candidate will be an individual who has extensive experience managing logistics; planning with venues, vendors, and staff; and building and maintaining positive relationships with our speakers, sponsors, attendees, and employees.

Job Requirements

Essential Duties and Responsibilities

Supervises and manages all conference staff
Negotiates and secures all vendors necessary for conference implementation
Serves on conference planning committee
Ensures sponsored presentations are eligible for continuing education units
Maintains centralized databases of attendees, sponsors, and speakers in our customer relationship management (CRM) system
Oversees yearly Marketing plan for individual conferences and insures deadlines are met
Maintains purchased mailing lists and makes sure the length of authorized use is not exceeded
Addresses inquiries from sponsors, exhibitors, and others related to conference logistics and information

Provides creative direction for the development of branded print collaterals including brochures, postcards, invites, and emails
Plans exhibit layout and coordinates conference facility setup
Plans and coordinates with marketing department around communications for the conferences including, but not limited to, email marketing, print collateral, targeted advertisement, website updates, and social media contact, making sure all efforts can be tracked for ROI purposes
Maintains a detailed project plan and/or checklist for the conferences
Facilitates between internal departments and external contractors to complete tasks
Understands and negotiates convention center, hotel, and resort contracts and addendums and maintains relationship with hotel staff and vendors
Reviews and verifies accuracy of final conference BEOs, AV, and other final bills
Maintains and stays within budget parameters for each conference
Negotiates pricing with hotel for F&B and other areas
Negotiates and secures AV needs for FRN and speakers and sponsors
Responds to speaker, attendee, and sponsor inquiries
Actively resolves any customer issues, escalating to proper personnel if necessary
Manages calls for speakers/presentations, speaker scheduling, and speaker travel coordination
Responsible for facility selection review for all new conferences or change of venue
Maintains conference registration site
Coordinates with hotel on rooming list, referencing with attendee list for possibility of extra room nights
Proposes new conference opportunities
Manages all on-site staff scheduling and accommodations
Responsible for budget management and meeting expenditure goals
Attend networking events to maintain and develop relationships of vendors and others in the meetings industry to stay ahead of new and emerging conference trends.
Responsible for creating and maintaining over-arching event plans for all new conferences 

Knowledge, Skills, and Abilities

Maintains CMP, Certified Meeting Planner, certificate
Must have an understanding of marketing concepts, especially related to social media and search engine marketing
Ability to clearly and succinctly communicate both verbally and in writing
Must be able to orchestrate multiple activities at once to accomplish a goal; uses resources effectively and efficiently; arranges information and files in a useful manner
Accurately scopes out length and difficulty of tasks and projects; sets objectives and goals; breaks down work into process steps; develops schedules and tasks/people assignments; anticipates and adjusts for problems and roadblocks; measures performance against goals and evaluates results

Proficiency in MS Office, including database management in Excel, Access, or cloud based solutions
A current, valid driver’s license is required for frequent business travel
Minimum 10% overnight travel required

Education and Experience

Bachelor’s degree in marketing, public relations, business, communications, planning, or equivalent is required
Minimum of 4 years’ experience in communications and marketing, preferably in a behavioral health organization
Minimum 1 year experience with marketing communications including writing, editing, and design
