Description:

PGIM Real Estate Finance (PGIM REF) is one of the nation’s largest full-service commercial real estate lenders.  PGIM REF originates a wide variety of commercial mortgage investments for Prudential’s General Account, investment management clients, and other third party capital sources (such as Fannie Mae, Freddie Mac, FHA, CMBS or other institutional investors).

 

PGIM REF is seeking an experienced administrative professional who will provide support to the Managing Director and Chief Operating Officer, located in Arlington, Virginia.  The successful candidate should have 5 or more years of executive assistant experience working in a fast paced and demanding environment.

   

Responsibilities will include but may not be limited to the following:

• Heavy and complex scheduling and calendar management for two executives.  This requires coordinating constantly changing schedules, preparing for meetings and conference calls by having all related documentation and logistics in place.

• Arrange and coordinate extensive and complex travel schedules and logistics to include the processing of vouchers and general office operating expenses.

• Coordinate and arrange on and off site meetings by preparing agendas, reserving and preparing facilities, and recording and transcribing minutes of meetings.

• Handle telephone and /or written contact with external and internal associates.

• Provide general administrative support, typing, photocopying, calendaring, vouchers, and maintain supplies.

• Organize and maintain file system, correspondence and other records, including the preparation of audit files, borrower confirmation letters, vacation logs, calendar tracking attendance and archiving to Iron Mountain.

• Open and distribute mail, including confidential, high priority and follow-up items.

• Develop and edit manager’s presentations, typically in PowerPoint.

• Conduct research, compile information for multiple types of statistical reports, using MS Office products and Loan Connect.

• Prepare outgoing mail and correspondence, including e-mail, faxes and overnight packages.

 


• Proficiency at Microsoft Office applications (Word, Excel, and PowerPoint)

• A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity

• Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner

• Strong initiative, good judgment and the ability to effectively multi-task

• Solid partnering skills and team player a must.

• Excellent interpersonal and communication skills

• Strong editing and proofreading skills.

• High level of motivation.

• Attention to detail

• Ability to work independently with minimal supervision, work under tight time constraints, and be able to prioritize work 

• Ability to work well with other administrative and professional staff

• Flexibility to work overtime on an as needed basis is required
